How to Plan Your Day So Every Moment Is Beautifully Captured

When it comes to wedding photography, timing is crucial. It isn’t just about logistics; it's key to creating a relaxed and joy-filled experience. Every moment deserves the space it needs. This guide walks you through my recommended timeline structure. This structure balances meaningful moments, beautiful light, and just enough breathing room so we’re never rushing. Remember, this is just my opinion. Ultimately, it’s YOUR day. You should do what feels right for YOU!
Arriving Early: 2–2.5 Hours Before the Ceremony
I like to arrive at least two to two and a half hours before the ceremony. This gives us ample time to settle into the day. It allows for conversations with other vendors, and it provides an opportunity to scope out my surroundings. The beginning of the day is when I capture all the little details you’ve carefully chosen. Additionally, I focus on the candid, emotional in-between moments that set the tone for the day ahead.
✨ During this window, I usually photograph:
Flatlays, detail shots, and venue décor (such as invites, rings, accessories, and florals)
Getting ready with your favorite people
Quiet anticipation and behind-the-scenes joy
First looks (if you choose to do one—with your partner, parent, or anyone special)
The Importance of First Looks: Optional, but Always Special
First looks provide a calm, private moment before the ceremony. They also allow us to get most of your photos done earlier in the day. This means you’re free to enjoy cocktail hour with your guests. First looks help the day flow naturally, which reduces stress.
Capturing the Ceremony and Cocktail Hour
From aisle walks to happy tears, and that moment when you say “I do,” I’m there to capture everything as it unfolds. After the ceremony, we’ll use cocktail hour for:
Family portraits
Any remaining wedding party photos
Guest candids and reception details
A few MR. + MRS. photos
A quick moment for you two to relax (yes, it’s allowed!)
The Magic of Sunset Portraits
Golden hour light is the best light for photography. I always make space for a short sunset session with just the two of you—about 10-15 minutes during golden hour. This moment is quiet, romantic, and serves as a beautiful pause before the party begins again.
A Sample Timeline for a 4PM Ceremony - Based on 8 Hours of Coverage
Here’s an example of how this all comes together for an effective timeline:
1:30 PM – I arrive for detail shots and getting ready coverage
2:45/3 PM – First look, couple portraits, wedding party photos, and family portraits. It’s a chance for the couple to breathe before walking down the aisle
4:00 PM – Ceremony
4:30 PM – Cocktail hour! (Finish up any necessary photos)
5:30 PM – Reception begins (starting with first dances!)
6:00 PM – Dinner, mingling, and cake cutting
7:15 PM – Sunset photos with the couple
8:00 PM+ – PARTY!!!
